This Refund & Cancellation Policy applies to all services provided by STS Apostille & Attestation service 

(“STS”, “we”, “us”, “our”) including apostille, attestation, state/SDM authentication, MEA services, embassy legalization, notary services, translation, document pickup, processing, shipping, and support services.

By using our services, you acknowledge and agree to the terms stated in this policy.

1. General Principles

Due to the specialized and government-dependent nature of apostille and attestation services:

• Most services become non-refundable once processing has begun, as government fees, courier fees, and administrative work cannot be reversed.
• STS will always strive to provide fair and transparent resolutions.
• Refunds, where applicable, are issued only to the original payment method unless otherwise agreed.

2.Cancellations Before Submission or Processing

A full or partial refund may be granted if:

• The service is cancelled before document pickup, OR
• The service is cancelled before STS begins any processing (verification, data entry, state submission, MEA slot booking, courier dispatch, etc.)

Refund eligibility:

• Full refund minus any irreversible third-party charges, including:
  • Pickup fees (if already paid to courier)
  • Payment gateway charges
  • Government fees already paid
  • Administrative charges (if work has already started e.g. checking documents, preparing files)

If absolutely no work or cost has been incurred yet, a full refund may be issued.

3. Cancellations After Processing Has Started

Once STS has initiated any of the following actions, refunds may not be possible:

• Government or state submissions
• SDM/HRD/MEA processing
• Embassy or consulate submissions
• Translation work started or completed
• Courier pickup already completed
• Document verification already processed
• Administrative work completed

In such cases, only shipping fees for unshipped packages may be refunded (if applicable).

Any partially completed service may be refunded at STS’s discretion after deducting:

• Completed stage charges
• Government fees
• Courier/Pickup fees
• Administrative expenses
• Processing fees

4. Non-Refundable Services

The following services are strictly non-refundable once initiated:

• MEA apostille processing
• Embassy/Consular attestation
• HRD/State/SDM authentication
• Notary work
• Any translation work (even partial)
• Courier fees once documents are dispatched
• Urgent/express service charges
• Any government or embassy fees already paid
• Services delayed due to government workload or verification requirements

Government-verification or security-hold delays are outside STS’s control and are not grounds for refunds.

5. Refunds Due to Client Errors

Refunds may not be issued if the delay or cancellation occurs due to:

• Incorrect or incomplete documents provided
• Mismatch in names, dates, or details in certificates
• Missing supporting documents
• Invalid or forged documents
• Client unresponsiveness
• Client refusal to comply with government/embassy requirements
• Incorrect address or failed courier delivery attempts
• Decision by government authorities to reject or halt processing

Charges incurred up to that stage will be deducted before any partial refund (if applicable).

6. Service Rejection by Government Authorities

If a government office (State, SDM, HRD, MEA, Embassy, Consulate) refuses to process a document due to:

• Non-genuineness
• Format issues
• Document damage
• Incomplete verification
• Issuing authority errors
• Regulatory changes
• Country-specific restrictions

STS Apostille & Attestation service is not liable for refunds of:

• Government fees
• Submission charges
• Translation/attestation work already done
• Courier expenses
• Administrative charges

Clients will be informed and may choose to re-submit (new charges may apply).

7. Shipping Refunds

Shipping fees are non-refundable once:

• Courier has collected the documents, OR
• Dispatch has taken place, OR
• Tracking details have been generated.

If the shipment is not yet dispatched, return-shipping fees may be refunded depending on courier cancellation allowances.

8. Delays Beyond Our Control (No Refunds)

Refunds are not granted for delays caused by:

• State/SDM/HRD office backlogs
• MEA delays
• Embassy/Consulate holiday schedules
• Festival/seasonal processing rush
• Government system downtime
• Verification delays by issuing authorities
• Courier delays
• Customs hold-ups
• Natural disasters, strikes, lockdowns, war, or force majeure events

STS Apostille & Attestation service   will always notify clients promptly upon any known delays.

9. Refund Processing Time

If a refund is approved:

• STS processes it internally within 7–10 business days
• Bank/payment gateway timelines may require an additional 5–7 business days
• International remittances may take longer (bank charges may apply)

STS is not responsible for delays caused by banks or payment processors.

10. Service Modifications Instead of Refunds

If clients wish to change the service instead of cancelling:

• STS may adjust the order (e.g., converting attestation to apostille, adding translation, switching delivery method).
• Price differences will be billed or refunded accordingly.

11. No-Show, Unreachable, or Unavailable Clients

If the client does not:

• Respond to courier pickup attempts
• Provide correct addresses
• Accept courier delivery
• Provide required documents/ID/OTP
• Respond to communication for more than 10 days

The order may be placed on hold, and refund eligibility will be cancelled.
Reactivation may incur new charges.

12. Duplicate Payments

If a duplicate payment is made:

• The extra amount will be refunded after verification.
• Processing time for duplicate refunds is typically 3–7 business days.

13. How to Request a Refund or Cancellation

Clients must submit a written request with:

• Full name
• Contact number
• Service order details
• Reason for cancellation
• Proof of payment
• Any supporting documents (if relevant)
